In this demonstration, we’ll explore how Doxserá® DB streamlines document generation by dynamically filtering and automating form inputs, reducing the risk of errors and saving time for law firms, insurance firms, venture capitalists, and other knowledge workers.
Let’s say the form user is asked to select a recipient from a list of people, but to ensure accuracy, we want them to choose only from the people associated with a specific company. Instead of showing all entries from a large Excel spreadsheet, Doxserá® DB allows us to create a filter.
We start by adding a question to select the company. Using a dropdown Smart Answer linked to a data source, the user is presented with a list of companies. Once the company is selected, we modify the next question—selecting a person—so that only the individuals associated with the chosen company are shown.
For example, the user selects "Gadget Company" from the dropdown. When they move to the next question to choose a person, instead of seeing the entire list of individuals, they’ll only see the people linked to Gadget Company. This ensures accurate selections, simplifies the process, and reduces mistakes.
But that’s not all. Doxserá® DB also provides the option to automate the multi-doc process, which is ideal for generating batches of documents. As the form author, you can pre-define that the form should always generate multiple documents without the user having to manually select the multi-doc option. This streamlines the process even further, ensuring that every time the form is used, the correct number of documents is created based on the recipients associated with the selected company.
For instance, if the user selects "Widget World" and fills in the meeting date, Doxserá® DB automatically generates separate documents for all individuals in Widget World. If they only need one document, they can select a single person, but in most cases, they can use the "check all" option to generate multiple letters instantly.

Here, I'm asking the, form user to select a person here, but this this could be a very lengthy list, and I really don't want them to select anyone from the wrong company. So what if I restrict their choices? Instead of showing them all of the items in the Excel spreadsheet, all of the rows, I would really like to only show them certain lengths. So I'm gonna add a row here.
Move it up one.
Move row up. It's gonna ask for the name of the comp company. Choose a company.
Make a smart answer. This is gonna be a drop down answer using our data source named corp.
It's going to be looking at the company table, and it's gonna show them a list of company names.
Having chosen a company here, then I want to show them a list of not all of the people in my Excel spreadsheet. I wanna show them a list of only the people that belong to that company. So I'm gonna modify my smart answer here. Instead of include all items, I want to include only some of the items in that spreadsheet. Which ones do I wanna include? I only want to include the people whose company ID is the same as the company ID of the company that they selected in the previous answer.
Here, they'll be selecting a company first, and then the second question is gonna give them a filtered set of results. It's only gonna show them the people who belong to that company that they just selected.
Click okay there. Let's see how that works. They'll come along. They'll first click fetch to choose a company. Only three things to choose from here. Let's go with gadget company.
And then they'll be asked to choose a person, but when they click fetch, they don't see all ten or eleven or however many I have in my Excel spreadsheet. They only see the ones who are members of that company.
So that shows how you can filter, the set of choices that are presented to that form user.
Another thing that will, adds a extra bit of control, rather than leaving it up to the form user to click multi doc here and then click fill and choose the people they want to generate forms for, instead as form author, I can make that process, quicker and mandatory.
I can say, you know what? Every time this form is used or just about every time, I'm gonna want people to be creating a a set of finished documents, a whole batch of finished documents. So I don't want them to have to go through that process of saying, yes, I want to do a multi doc, multi doc, and then proceeding to do it. I wanna automate that a bit so that it will automatically just assume that they want to create a batch of documents every time they use this form. The way I do that as a form author is in the Smart Answer screen for this question, right here I've got a checkbox that says auto multi dock. I'm gonna turn that on.

It tags that with an auto multi dock indicator here. That's the instruction to DocsRODDV that says this is always going to be used as a multi doc form.
And, I'm going to click show hide as a form author, and that's just gonna hide that from the form user, so they don't even have to think about it. Similar to a derived answer, when you know how derived answers get hidden when you click show hide so that the form user doesn't even have to think about them? Same thing here. Now the form user is gonna come along. They're gonna choose a company, like, go with Widget World this time, and they'll fill in the date of the meeting.
Then they'll just click the fill button. As the form author, we've already defined it to be a multidoc form, and so they are presented with this list that says a separate document will be created for each response. Now if they did only want to use it for one person, that's fine. They could just click one person. That's gonna create a single finished document.
But, usually, when this form gets used, I'm gonna want to generate letters to all members of this company. It's, because we've set set up our filter, it's only showing me the people who are members of Widget World. So I can just hit the check all button, and four documents will be created.
